Billing Statement Template: Fill It In, Download the PDF

By , Ready Utilities

This billing statement template runs in your browser and summarizes a customer's account over a period: the opening balance, the invoices issued, the payments received, and the closing balance. It is not itself a request to pay one invoice, which is why the sheet asks the customer to pay from the invoices listed. This is a customer billing statement, the kind a business sends; it is not a bank statement.

Columns: date, reference, description, charge, payment. Read in your browser; nothing is uploaded.

What goes on a billing statement

Statements are informational summaries; customers pay invoices, not statements; the invoice vs bill vs statement guide explains why paying from a statement muddles the records. That is the distinction FreshBooks, GoCardless, and AccountingTools each draw, and the reason the sheet carries the pay-from-the-invoices line.

This builder was built by Ready Utilities. The statement layout follows the sections described by FreshBooks, GoCardless, and AccountingTools: period, opening balance, dated lines with a running balance, and totals. The running balance is computed in whole cents. It runs in your browser and stores nothing you type; the conventions are reviewed when accounting guidance changes.

Frequently asked questions

How do I create a billing statement?

Fill in the sheet above: your business, the customer and their account reference, the statement date and billing period, the previous balance, then one line per invoice, charge, or payment in the period. The running balance and total due compute as you type. Download the PDF.

What is a billing statement example?

A statement dated the last day of the month showing the opening balance, two invoices issued during the month with their numbers and amounts, one payment received, and the closing balance. The sheet above produces exactly that layout.

Do you pay a statement or an invoice?

You pay the invoices. A statement is a summary of the account for a period; it lists the invoices that are open but is not itself a request to pay one of them. That is why the sheet carries the line asking the customer to pay from the invoices listed.

Is a statement proof of payment?

No. A statement shows what has been billed and paid over a period. A receipt is proof of a specific payment.

What is the difference between the statement date and the invoice date?

The invoice date is when a single invoice was issued and is what payment terms count from. The statement date is the as-of date for the period summary and says which transactions are included.

How do I make a billing statement in Excel?

You can, with columns for date, reference, description, charge, payment, and a running balance formula. This builder produces the same document without the spreadsheet, and prints it as a PDF.
