Freelance Invoice Template: Fill It In, Download the PDF
This freelance invoice template runs in your browser with the fields freelance work needs: a quantity column that takes hours or units, Net 15 as the default term, a tax form note so your Social Security number never goes on the document, and totals that compute as you type. Fill it in and download the PDF.

- 2. Add the line itemsOne line per item or block of hours. Totals, tax, and the balance compute as you type; tick Prices include tax if your rates already include it.
- 3. Download the PDFPress Download PDF and choose Save as PDF. Nothing is uploaded. Nothing is stored unless you turn on the saved business details or the drafts option, and drafts belong on your own computer only.
- 4. Copy the totals if you need them in a messagePress Copy totals to put the subtotal, discount, tax, shipping, total, and balance due on your clipboard as plain text, one line each. Handy for pasting into an email when the client asks for the figure and you do not want to attach the PDF again.
What this preset changes, and why
- Quantity accepts hoursDecimal hours on a line, with the rate per hour, so "6.5 × $85.00" prints as a line amount. Project work uses quantity 1 and the agreed price.
- Net 15 by defaultFreelancers fund the wait out of their own pocket; fifteen days is the common compromise between "due on receipt" and the Net 30 larger clients expect. Change it in the terms select.
- Tax form noteA single line such as "W-9 on file" so a client who needs your tax ID for a 1099 knows where it is, without printing a Social Security number on a PDF that gets forwarded.
- Everything else is the standard invoiceNumber, dates, both parties, totals, and payment instructions, laid out in the order the guide to what is an invoice describes.
Freelance invoicing guides from Stripe and Xero list the same elements; this preset just puts them on the sheet. The freelancer invoicing guide covers when to send, what to charge for, and the mistakes that delay payment.
This preset was built by Ready Utilities on the same engine as the site's invoice builder, with the fields freelance invoicing guides from Stripe and Xero describe. Totals are computed in whole cents. It runs in your browser and stores nothing you type unless you turn on the on-device options; the conventions are reviewed when those guides change.
Frequently asked questions
What should a freelance invoice include?
Your name or business name and contact details, the client's, a unique invoice number, the invoice date and an exact due date, one line per deliverable or block of hours with the rate, the total, and how to pay. Add your tax ID only if the client asks; most freelancers give a W-9 instead.
Should I invoice hourly or by project?
Invoice the way you quoted. Hourly work gets a line per block of hours with the rate; project work gets a line per deliverable or milestone with the agreed price. Mixing the two on one invoice is fine if each line says which it is.
What payment terms do freelancers use?
Net 15 is common for freelancers who need cash flow, which is why this preset defaults to it; Net 30 is what larger clients expect. Due on receipt works for small jobs. Print the exact date either way.
Do I need to put my Social Security number on the invoice?
No. If a client needs your tax ID for a 1099, give it on a W-9, not on a document that gets emailed around. The tax form note field lets you say a W-9 is on file.
When should I send the invoice?
The day the work is delivered, or on the milestone date you agreed. Waiting a week to invoice adds a week to the wait for payment.
Is this freelance invoice template free?
Yes. No account, no watermark, and nothing stored unless you turn on the on-device options.
