How to use this tool
- 1. Pick the document type and fill in the sheetInvoice, receipt, quote, estimate, or purchase order. The fields change to match.
- 2. Add the line itemsOne line per item or block of hours. Totals, tax, and the balance compute as you type; tick Prices include tax if your rates already include it.
- 3. Download the PDFPress Download PDF and choose Save as PDF. Nothing is uploaded. Nothing is stored unless you turn on the saved business details or the drafts option, and drafts belong on your own computer only.
- 4. Copy the totals if you need them in a messagePress Copy totals to put the subtotal, discount, tax, shipping, total, and balance due on your clipboard as plain text, one line each. Handy for pasting into an email when the client asks for the figure and you do not want to attach the PDF again.
What goes on an invoice
An invoice needs your business details, the client's details, a unique invoice number, the invoice date and the due date, an itemized list with quantities and rates, the subtotal, tax, and total, and your payment terms and methods. The United States has no single required format, but those elements are what GoCardless, SumUp, and Xero all describe. This builder was built by Ready Utilities. The field list follows the required invoice elements described by GoCardless, SumUp, and Xero, and the totals are computed in whole cents so they never drift. Everything runs in your browser; the site stores nothing you type unless you tick the box to save your own business details on this device, and the field conventions are reviewed when invoicing guidance changes.
Frequently asked questions
How do I make my own invoice?
Fill in the sheet above: your business details, the client's details, an invoice number, the dates, and what you did with a quantity and rate. Totals compute as you type. Then press Download PDF and choose Save as PDF in the print dialog.
Is this really free with no signup?
Yes. There is no account, no email gate, and no watermark. The builder runs in your browser and stores nothing you type unless you turn on one of the on-device options: saving your own business details, or keeping drafts.
Can I save an invoice and come back to it?
Yes. Tick Keep drafts on this device and every change autosaves to this browser; a drafts list appears above the sheet with load, duplicate, and delete. Turn it on only on your own computer, because drafts include client names and amounts and anyone using that browser can open them. Delete all drafts removes them.
What should an invoice include?
Your business details, the client's details, a unique invoice number, the invoice date and due date, an itemized list with quantities and rates, the subtotal, tax, and total, and your payment terms and methods. The guide to what goes on an invoice explains each field.
Can I add a logo, and where does it go?
Yes. Use the logo control above the sheet. The image is read by your browser and drawn onto the invoice; it is never uploaded anywhere. It prints at the top left.
Does this send the invoice or track payment?
No. This builder makes the PDF. Sending, reminders, tracking, and collecting payment are what invoicing software does. You can add a Pay Now link so the client can pay you through your own provider.
Can I make a receipt, quote, proforma, or purchase order?
Yes. Change the document type above the sheet. Receipt marks the document paid with a stamp, quote and proforma add a validity date and convert to an invoice in one click, purchase order swaps the parties and adds a ship-to block, and the freelance and contractor presets change the fields for that kind of work.
What does "prices include tax" do?
When it is on, the rates you enter are treated as tax-inclusive and the tax is backed out of the total instead of added on top, so the printed total matches what you quoted.
Why doesn't the invoice number increase by itself?
Because nothing is stored unless you ask, the builder cannot remember your last number. The invoice number generator gives you a scheme to keep, and can remember your last number on this device if you tick that box.
